Oracle Universal Content Management


ECM is the new buzz word with managing information and it details the technology to managing information (content), the policies, procedures and business processes that govern how information moves within an organisation.

We deploy ECM within an enterprise where we look to;

Reduced costs
At the University of Pretoria (UP), they use over 800 sq meters of space for storing archived records. Through storing these records electronically.

Managed risks:
At Exclusive Books, we helped store all lease contracts onto Oracle UCM. This exercise helped management to gain more control over the landowners of their stores.

Created a new reality:
For Exclusive Books iFACTORY ensured that unsavoury comments were automatically and instantaneously cleaned up on their new website.
At UP, iFACTORY translated the Oracle UCM key components into Afrikaans for their professors to access and understand the new technology.

This has been achieved by using the Oracle Universal Content Management product. UCM provides a unified and enterprise – wide application for delivering document management, web content management, digital asset management, and retention management to organisations.

Oracle UCM offers a flexible, robust and scalable content management solution that allows employees, customers and partners to collaborate, contribute and access content anywhere, anytime, in any format.

Document Management (DM)
Oracle’s document management solution within UCM allows organisations to effectively and efficiently capture, edit, secure and publish digital and paper-based articles and reports. With UCM, businesses save money and improve operational efficiencies by streamlining communications, automating, managing and tracking routine tasks.  Additionally, UCM minimizes risks associated with regulatory and legal compliance processes.

Oracle Content Server
The foundation of UCM begins with Content Server, a completely Web-based repository where all content, regardless of content type, is stored for management, reuse and access.

While stored in the repository, all types of content, ranging from email, discussions, documents, reports, spreadsheets and records to images, multimedia or other digital formats, receive the same set of fundamental core services.

These core services provide the following key functions;

  • Library services (metadata – assisting in categorizing content), check in and check out functionality, revision control and subscriptions to content)
  • Security, which is role-based, account based, rules based and content level models. I.e. the right people access the information at the right time. Out-of-the-box security or integrate with enterprise standards such as Active Directory, NTLM or LDAP.
  • Conversion services of 400 file formats to “consumption” friendly formats such as HTML, WML, XML and PDF
  • Workflow – an integrated graphical workflow engine.
  • Personalization based on roles, business criteria, security, rules or a defined user/administrator requirements. Content can be delivered in tailor-made formats.
  • Index/Search – once documents are checked in they are indexed. Ensuring they can be retrieved quick, easily and through full text searching.
  • Administration capabilities, which include audit trails and reports, archiving, configuration management, back up and system reports. The data is stored in a database table, therefore will be viewable through out of the box reports,
  • Content Integration Suite provides a reliable and scalable integration infrastructure for integrations with Java 2 Enterprise Edition (J2EE) applications.
  • Content Portlet Suite is built on top of the Oracle Content Integration Suite and offers a number of pre-built reference portlets for IBM, BEA, Plumtree and Sun portal servers. Depending on the permission level, the user may be allowed to browse or search content, contribute a new content item and view the progress of their content through workflow.
  • Desktop integration allows the direct contribution from desktop client and email applications such as Word, WordPerfect, Excel, and PowerPoint, Microsoft Outlook and Lotus Notes Email. It also allows users to attach content pulled directly from Oracle UCM.
  • Content categoriser, provides for the automatic contribution of large amounts of text-based content through an interactive check-in process, which automatically categorizes individual content items.

    There is also an API which integrates to third party categorization engines.
